We are a Premier Estate Planning Law Firm currently seeking a Receptionist in our Phoenix, AZ office to join our unique, family-oriented team of professionals.

As a member of our Administrative Services Team, you will have a large range of responsibilities while providing support to staff members, prospects, and clients to ensure efficient operations. You will be able to prioritize your work, be a multi-tasker with excellent phone, written and verbal communication skills, have a positive presence and an upbeat attitude. You will be willing to meet each challenge directly and have a genuine desire to meet the needs of others. You have a great attention to detail, strong organizational skills and will complete tasks accurately and deliver them with high quality and in a timely manner.
Responsibilities:
- Handle all incoming calls, act and/or route calls appropriately
- Input file openings and intakes into CRM
- Receive, stamp, open, sort, scan and distribute the mail as applicable
- Filing, copying, binding, scanning
- Respect and manage calendars
- Scheduling appointments which include updating client/prospect data in CRM, inputting appointment in CRM, inputting appointment on calendar and sending confirmations
- Preparing boxes prior to scheduled shipments
- Greet visitors with professionalism and a smile
- Responsible to handle sensitive information in a confidential manner
- Handle inventory, anticipating and confirming needed supplies, ordering, shipping, verifying receipt of supplies and putting office supplies away timely
- Ensure office is always kept clean and organized
- Send reminders regarding upcoming appointments, meetings, and events
- Maintain contact lists and filing systems
- Produce and distribute correspondence memos, letters, faxes, and forms
- Reply to email, telephone, fax, chat, or face to face enquiries in less than 24 hours
- Book travel arrangements
- Assist with meeting set-up, catering, event planning, and various celebrations
